How to create a Distribution List

 

This demonstration will show you how to create an Outlook distribution list from your Contacts folder.

 

  1. Outlook is open.
  2. Click your Address Book to begin as shown in Fig. 1.
  3. Now click the new rolodex icon which is located just under File.

  1. You should now see the New Entry dialog box as shown in Fig. 2. Make sure to select New Distribution List and then click OK.

  1. Now you should see a new Distribution List box open as shown in Fig 3. I have already typed in “IS Staff” as the name. Now click Select Members to continue.

  1. Now you should see Fig. 4, which is the Select Members box you get when you create a new email. I added my name, Dave Soto from the Global Address List. To add an outside email address, click in the “Add to distribution list” text box and just type the full email address. When you are done, click OK to continue.

  1. As you can see in Fig. 5, I finished adding folks to this Distribution List. If you are done, make sure you click “Save and Close”.

  1. After clicking OK, you should be back to the Address Book as shown in Fig. 6.

  1. Close the Address Book. Click new email and click To: and then from the pull-down choose Contacts and find your new entry as shown in Fig. 7. That’s it.
