Primary
Responsibilities:

  • Maintains and provides information on the status and availability of on and off-duty staff and makes recall notifications
  • Coordinates with the EOC staff to determine staffing needs and fills them as required
  • Coordinates with Union representatives and follows agreed-upon hiring and personnel procedures

Support
Responsibilities:

  • Assists with mutual aid operations
  • Supports Accounting and Insurance with information and documentation

Supplies:

Personnel records, injury report procedures, telephone, hiring and other personnel procedures

 

PROCEDURES TIME/DATE
EMERGENCY RESPONSE:  
Report to the EOC. Sign in with Situation Status (Log Keeper).   Immediately get a report on emergency conditions and situations.  
Request a roll call and accounting of all GCCCD personnel, contractors and public on site and determine the status of on and off-duty personnel.  
Coordinate with the EOC Team Leaders to determine staff needs.   Assist with call-back and contacting staff.  
Keep track of employees hours, locations worked and all payroll information.
Handle all emergency hiring and assignments.  Make arrangements for duty assignments, equipment, training and payroll matters.
 
Set up a message center for employees if the telephones are not operating.  Coordinate with Public Information to provide current information using memos or bulletins or radio broadcasts, as indicated.  
Be prepared to provide specialized assistance in the event of severe incidents involving injuries, fatalities, or other physical or emotional upset.  
Coordinate with the Personnel Support and make sure that food and water, shelter, rest areas and safety support are available and in place for field personnel, as well as the EOC staff.  
Support Mutual Aid and Liaison with personnel matters for those assisting GCCCD as well as mutual aid teams sent to assist others.  
Set up incident reports an files for injuries, worker's compensation incidents, accidents and other situations.  Set up investigation procedures and the documentation process.  Keep track of all information needed for the files.  
Keep the Situation Status and Log Keeper informed of current personnel information such as numbers of injured, employees working, etc.  Assist with status reports for the EOC Manager.  
Assist Insurance with personnel documentation and information for the insurance claims.  
RECOVERY:  
Transfer all reports, files, claims and investigations to normal operations for continued management.  
Continue to provide recovery services to employees, providing post-disaster services as appropriate.  
Support the insurance claim process with source documents for documentation.  Assist with preparing a summary report of the damage and incidents that occurred at the campuses.
