Accessible Emails
Ensuring Emails Are Accessible
ACCESS is a quick framework for making everyday emails clearer and more accessible.
The ACCESS Framework
A - Add structure: Use headings (in order) for longer emails and proper bulleted or numbered lists (rather than dashes)
C - Check readability: Use readable fonts, sufficient color contrast, and mobile-friendly formatting.
C - Communicate clearly: Use meaningful link text, add alternative text to informative images, and avoid image-only flyers.
E - Ensure attachments are accessible: Attach accessible Word or PDF files and summarize important attachment content in the email.
S - Simplify: Use plain language, keep messages concise, and do not use tables just to control page layout.
S - Scan before sending: Run an accessibility check and quickly review the message before you send it.
Before You Send: Quick Check
- Can a reader understand the message quickly?
- Are headings and real lists used when they improve structure?
- Do links describe where they lead instead of saying “click here”?
- Do informative images have useful alternative text?
- Is essential information available as text, not only inside an image or flyer?
- Are attachments accessible, and is key context summarized in the email?
- Is the message readable on a phone and easy to scan?
Build the Habit
Practice with a real email. Revise a recent message using ACCESS. Small improvements
in everyday communication create more consistent access over time.
